General Board Meeting Minutes
9 January, 2008

Present:  FOTA, VP, VP Ways and Means, SCA Representative, Scholarship, Parent Liason Coordinator, VP ES/MS  Publicity, Family Life Consultant USAG/ ACS Brussels, Publicity, FOTA, International Dinner Chairperson, President, Membership, Property Manager, BINGO Coordinator, USAG/ACS Brussels Representative, Hospitality, Secretary

President called the meeting to order at 3:25 p.m.

Last months minutes where reviewed, a motion was made to approve, seconded, motion carried.

First order of business was to approve the appointment of a new secretary to replace the outgoing.  Motion was made and seconded.  Passed with unanimous vote.

Thank You notes were received from a HS teacher and Elementary teacher for the holiday cookies.

Treasurer:  Checking account balance:  $14,849.71.  Saving account balance:  $1,236.35.  Current sales are listed as the net of income vs expenses on the financial statement.  This will be corrected. The income for the year is lower than expected due to the snack shack being closed for renovations and shortfalls in other areas.  Expenses are as expected.  Just a reminder that a voucher needs to be turned in with receipts when requesting reimbursement.  These are available in the PTSO box. 

1st Vice President:  Happy New Year

VP Ways and Means:  The snack shack is up and running again and doing ok.  This Friday the HS classes start back in the snack shack.  For their time they receive 50% of the profits.  The principal suggested the MUN students work in the snack shack in return for the PTSO funding they receive.

VP Programming:  Will hold report until Bingo.

Faculty Representatives:   VP ES/MS reported that she has been unable to contact the Irish Storyteller.  She is looking at another option; author Judy Taylor.

Secretary:  Nothing to report

Student Rep:  SCA is finalizing prom discounts.  They are also starting to plan   field day.  The will most likely ask for $125 to help cover expenses for that. Winter formal is Saturday.

Committees:

Friends of the Arts:  Arts Café with Dracula went well.  They sold 11 DVDs.  You can still get one if you want.  Thank You to the student representative and the others for all their hard work on this.  Half of the proceeds went to FOTA and half to the student activity fund. 

Box Tops:  The last boxtops submission missed the postmark deadline but will be added to April’s.  $32 was earned from the online marketplace.  Spread the word about this other option.

Current sales:  School sales are finished.  You can still order through them and the school will get credit.  A reminder will be sent out publicly.  2 refunds were processed.

Hospitality:  The faculty and staff and guards were very thankful for the cookies.  Thank you to all who baked.

Membership:  No new members.  It will be out in the DB that membership is prorated for new arrivals to the school for the rest of the year.

Scholastic books:  Nothing to report.  Need to decide if a spring book sale is desired.

Bingo:  Will be held Feb 22, 6:30 – 9:00.  Dinner and Bingo.  Caterer  will charge $8 for lasagna or a pasta, $5 for children.  Up to 200 people.  Drinks sold separately at normal prices.  After discussion the decision was made to not make this a fundraiser.  Tombola tickets will be for sale.  Prizes are polish pottery and oriental trader items.  There are age category prizes per game.  It was suggested that NHS, JHS and MUN be asked to help.  Parent will be the MC.  Food presale will start soon.  Need POC for food.  1st VP will help. 

International Dinner: March 8 at 18:30.  Publicity is starting.  Principal said that the new chairs and tables are in.  Letters to the families explaining the event and requesting donations are going out.  VIP invitations go out today and tomorrow, 17 total.  Tombola baskets are started.  Suggested donation is $10 per grade. We will sell 375 tickets max this year. There was some discussion on whether we wanted to do a PTSO basket.  No was the majority decision since we were all donating to other baskets and items.  We will use PTSO funds to buy a tapestry for the silent auction and start the bidding at the sale price.  The entertainment is coming along nicely.  There is an enthusiastic group of international spouses assisting with the food and entertainment.

Scholarship:  MS/HS father is the new scholarship chair.  He has a $5,000 budget.

New Business: 
A monetary request was made by MS teacher in December for $60 Registration fee for the National Geography Bee.  Due to the registration deadline, an email vote went out to all PTSO board members.  19 votes yes; 3 not cast allowed for approval of the funding.

New Monetary Requests:

1.  First Grade – Data Analysis Magnetic Backed Board, and Science Packets – Set of 12, Total request was for $131.67.  A motion was made, seconded, and motion carried.

2.   School Nurse:  New temporal scanner thermometer for the Health office at a cost of $84.95.  Motion was made to include cost of the item plus shipping.     The motion was seconded and carried.

3.  Art teacher:  Special glue for Styrofoam for Nighthawk painting plus paint.  Request 200 Euro.  After discussion it was decided to fund half while FOTA funded the other half.  A motion was made, seconded and carried for 100 Euro maximum

By-Laws Committee:  The By-Laws are due to be reviewed this year.  Please let the presidnet know if you can help.  She will set a meeting date for later this month.

New Fundraiser idea:  There is a company that will take original art work and make it into magnets or other things.  The children can work on projects in art class and parents can decide what they want it made into.  It may be possible to split the profits with the art club.  We would set the price and the profit margin.  Turn around time is 4 weeks.  After some discussion it was decided we needed more research and to get past the upcoming events before we take on a new project.  The art teacher will speak with the president and they will get back to us later.
